CEWA is implementing Zycus as its new procurement system, including source to contract and the use of purchase orders for the supply of all goods and services (including works) to CEWA.

Zycus will transform the way CEWA and its schools and offices:

  • Buys goods and services.

  • Engages with its suppliers to maintain supplier information, compliance requirements and maintain catalogues of goods and services.

Introduction

CEWA has partnered with Zycus cognitive procurement to manage the procurement and sourcing activities at its schools and offices including its quotations and tenders, supplier and contract management and purchase order management. The implementation of Zycus marks a significant milestone in CEWA’s procurement processes and procedures following incorporation in 2019.

The Zycus Supplier Network Portal (ZSN) is the single system which enables suppliers to onboard to provide goods and services to CEWA’s network of schools and offices, manage data, receive purchase orders, respond to requests for quotes and tenders and view details of any contracts they hold with CEWA.

As a ZSN registered supplier to CEWA, you will be able to:

  • Have autonomy over your company details with the ability to view and update your address, contact information, bank information and supply categories.
  • View and provide updates to purchase orders and related information.
  • Engage with CEWA and its schools on sourcing opportunities (requests for quotes and tender).
  • Take advantage of improved data security.
  • Reduce the number of manual forms, phone calls and e-mails required as part of the procurement process.

By completing your onboarding on the ZSN you will be exposed as a potential supplier of goods and services to CEWA’s 150 schools and 5 offices.

ZSN Supplier Registration

All current and future suppliers of CEWA schools and offices will be required to register and use the ZSN Portal.

Suppliers not registered on the ZSN Portal, will not be able to maintain their company details, receive Purchase Orders through the system, or participate in sourcing events (quotes and tenders) with CEWA.

As all CEWA offices and schools transition to Zycus, suppliers will progressively start to receive Purchase Orders through Zycus to the e-mail address registered and accessible through the ZSN Portal.

The Purchase Order number must be quoted on all invoices issued to a CEWA school or office. Invoices are to be sent to the accounts payable e-mail address noted on the Purchase Order to ensure prompt processing and payment.

Before you can access the ZSN Portal, you will need the following minimum requirements:

  • An internet connection.
  • An internet browser installed on your computer (Google Chrome or Microsoft Edge preferred).
  • Add @zycus as a Safe Sender in your e-mail application (this is essential to ensure that important e-mails from the portal and pertaining to procurement activities are not missed).

If you are an existing supplier to a CEWA school or office location, you will have already received an invitation to complete your registration on the ZSN Portal.

If you are a new supplier to CEWA or its schools and offices, please contact the Procurement team at supplieronboarding@cewa.edu.au to register your interest in becoming a supplier.

What is Zycus, and why is CEWA implementing it

Zycus is a leading procurement software solution. CEWA is implementing Zycus to streamline and enhance its procurement processes, improve efficiency, increase cost savings, and gain better visibility and control over its procurement activities.

When is the implementation of Zycus scheduled to begin at CEWA?

The implementation of Zycus at CEWA commenced in 2023. Phase 1 including the transition of all supplier onboarding into Zycus and the rollout of full system functionality to the CEWA head office is scheduled in November 2024. Phase 2 will include the go live of full system functionality at CEWA pilot schools followed by a phased rollout to all schools continuing over 2025. Timelines may be subject to adjustment based on the complexity of the implementation and other factors.

What are the main objectives of implementing Zycus at CEWA?

The main objectives of implementing Zycus at CEWA is to automate and optimise procurement processes, centralise data and information, improve spend visibility, enhance supplier management, and enable automated payment processes.

What is the benefit of Zycus to CEWA?

Some of the benefits include – greater access to suppliers across all locations, reduced risk of supplier onboarding, and improved ability to match invoices to purchase orders facilitating automated accounts payable processes.

I am an existing supplier to a CEWA school or office location, why do I have to complete my registration on the supplier network?

All suppliers to CEWA schools and offices will need to complete their registration and onboarding on the Zycus Supplier Network to enable them to be used for the supply of goods and services to CEWA. Registration will enable the receipt of Purchase Orders and invitations to quote and tender. Becoming a fully registered supplier will also provide exposure to CEWA’s 150 schools and 5 office locations. Supplier information (i.e., insurance certificates and certification) will be held centrally and be accessible by all CEWA locations meaning that the supplier only has to provide this information once.

How do I get included in CEWA sourcing events?

When completing your supplier registration, it is important to complete the product and services (procurement categories) as accurately as possible. This data will be used by CEWA staff and the Procurement team to identify potential suppliers to include in market sourcing activities.

I don’t currently use Purchase Orders with CEWA, why do I have to use Purchase Orders now?

CEWA is introducing the use of Purchase Orders across the organisation to ensure efficiency and accuracy in our procure to pay process. Purchase Orders are also an essential steppingstone in our path to automated accounts payable processes aimed at expediting the prompt payment of suppliers. Moving forward, CEWA will transition to the use of Purchase Orders at all locations with the supplier required to quote the Purchase Order on all invoices issued for payment.

My systems are not advanced enough to issue formal invoices, how do I supply to CEWA?

The Zycus Supplier Network includes functionality called ‘PO Flip’ that may be suitable to our smaller suppliers. PO Flip enables a supplier to flip a Purchase Order received from CEWA into an invoice ready to submit for payment. How do I become a supplier to a CEWA school or office?

What data security measures are in place to protect CEWA's information within the Zycus system?

All data will be kept in Australia. Zycus adheres to stringent data security standards and implements various measures to protect information. This includes data encryption, role-based access controls, regular security audits, and compliance with industry best practice to safeguard data confidentiality and integrity.

Is there a cost to CEWA suppliers to use the Zycus Supplier Network?

No, the Zycus Supplier Network and the Zycus Supplier Portal are free to use by CEWA suppliers.

Which CEWA suppliers will be included in the implementation and rollout?

It is anticipated that all suppliers with active transactions in the preceding 24 months will be implemented into Zycus.
